Q&A with Amin Talebi (Part 2):

RPA Pitfalls – How To Overcome Them

Despite the growing hype of Robotic Process Automation (RPA) in Southeast Asia, there is also the growing sentiment of the complexities and challenges of implementing RPA.

In fact, reports have shown that nearly three quarters of businesses in Singapore have struggled with implementing automation.

Following the first part, Amin now takes us through the pitfalls that businesses must watch out for when implementing automation. You will also learn more about some of the leading RPA solutions in the market today.

What is the level of automation adoption in Singapore today?

Many businesses have already started using Robotic Process Automation (RPA) but many are automating it by individual processes rather than approaching it from the larger perspective. If they have 22 processes, they will tackle the first two before moving on to the next.

But to see the real impact such as increased ROI or cost savings at a scale you may need to automate several processes.

What are the pitfalls to RPA?

The first is the failure to understand the diversity of processes. Many start but soon realize the complexities of the process and multiple applications involved which becomes a barrier that they can’t overcome. It’s important to clearly map out the entire process in detail before implementing an RPA solution.

Secondly, many also have no definable goals for implementing RPA. Many are preoccupied with individual processes without taking a bird’s eye view. They fail to identify how a single process can fit into the entire end-to-end workflow to generate concrete benefits.

For example, client onboarding. There is data gathering and processing, invoicing, billing, tracking, contract agreement, etc. To only automate a single part would bear little fruit when compared to automating a set of processes that contribute to the overall process.

A third is the lack of expertise among IT teams to implement RPA.

That is why we are here to help. I encourage businesses to engage consultants to help them ease and navigate the transition to automation, so they can maximize the impact and bring real benefits.

How do we avoid the pitfalls?

To experience the full benefits of RPA you need to paint a clear picture of the desired result before developing a step-by-step blueprint to get there. Then identify all the repetitive processes that can be automated to achieve that goal

With a clear measurable goal, leaders, IT teams and employees are more open to accepting changes and benefits that RPA can bring to their individual roles. Communication is also needed from the upper level to the lower levels.

What are some of the RPA solutions in the market?

If your business is already running on Microsoft 365, then the first and most obvious choice would be Microsoft Power Automate. You already have the license and can start for free. It’s also one of the fastest growing automation solutions out there.

As all your customer data, information, and processes are already within the Microsoft environment, there is less headache when it comes to integrating your systems with automated processes.

But if you are looking to digitize tedious manual paperwork and streamline workflows, then Nintex has a wide range of solutions to help map out processes.
